Information about the Risk Assessment Workflow (RAW) Project

What is the Risk Assessment Workflow (RAW) Project?

Management of the workflow for risk assessments for LSE buildings and activities across campus, halls and sports ground is a time-consuming, manual, process for LSE’s very small health and safety team. The current method of exchanging Word documents back and forth is inefficient, has an inherent risk of errors, and provides a poor experience for users. 

Additionally, the School would benefit from an easier, more efficient way for key staff to report health and safety hazards, incidents or near misses so these can be responded to more quickly.

The RAW project will implement a new system, Evotix Assure, to increase efficiency and effectiveness of risk assessment and health and safety incident reporting by:  

  • Automating as much as possible, management of the workflow for submitting, reviewing, updating, and tracking health and safety risk assessments
  • Reducing the risk of errors 
  • Providing a better user experience for authors and reviewers of risk assessments 
  • Providing an effective way for key staff to report and track health and safety incidents.

How does this affect me?

If you are currently responsible for submitting risk assessments for your area (e.g. you're a Department Manager, PSS Service Lead, Front of House staff or Facilities Manager in LSE-owned halls of residence), in future you will be able to complete risk assessments within the system.

This will provide a much better user experience and allow you to update and track the progress of your risk assessments much more easily.

When will the new system be in place?

The project team and supplier have already begun configuring the system and will begin initial testing during February 2022.

We are currently on track to have the risk assessment workflow module live by the end of March 2022.

From March 2022 onwards we plan to begin configuring the health and safety incident reporting module.

How can I get involved?

Following configuration and once the project team has done some initial testing, we’ll be seeking help with User Acceptance Testing (UAT). We would like 6-8 volunteers responsible or accountable for risk assessments to help us with testing and feedback.

We will need representatives from across academic departments, PSS, and halls. Getting involved will be a great way to get a head start on using the parts of the system that are relevant to your role. You will also be providing us with valuable feedback on areas of the configuration that could possibly be tweaked. 

How can I find out more about the project?

Keep an eye out on these webpages and Staff News for updates. We will also be providing direct communication to affected stakeholders where/when necessary.

 Where can I access training to use the new system?

Before we go live with the system, the project will also provide tailored training materials and signpost users to appropriate generic information on the supplier’s Video Training Centre, and knowledgebase.
