Instructions for Examiners

Both internal and external examiners and chairs of exam boards should have a copy of the Instructions for Examiners for Undergraduate and Taught Post-graduate Programmes. This document is very important and contains guidance on examining, procedures and policies. Please ensure you are familiar with the relevant sections, specifically sections 7 for external examiners, section 8 for internal examiners and sections 5 and 6 for Chairs of exam boards.

A new undergraduate classification scheme for students entering in or after the 2007/8 academic year has been implemented. Please refer to the links below for the regulations.

Guidance for examiners and Sub-Boards

External Examiners

External Examiners are nominated to examine undergraduate and postgraduate programmes for the School.

Departments are responsible for recruiting and nominating External Examiners. You can find out more about the process and eligibility criteria at External Examiner nomination.

External Examiner Nomination Form

Once appointments have been confirmed by the School, external examiners will receive a confirmation email, with details of their responsibilities. These appointment confirmations are sent from the Results Team in October/November every year. 

External examiners should then liaise with the appropriate academic department(s) for more detailed information about their role. 

The School's main periods for finalising results are as follows:

  • June/July - undergraduate and 9/10-month postgraduate programmes.
  • October/November - 12-month postgraduate programmes. 

A small number of courses also run examinations in January each year, after which provisional marks are released. There are no exam boards associated with these exams, as all results are ratified during the main exam board seasons (above). 

External examiners are required to submit report forms as soon as possible after the examination board(s) for the relevant programmes and courses. These should be submitted to Once submitted, the forms will be circulated to appropriate members of staff within the School.

External Examiner payment

External examiners will be paid once the Results Team in Student Services has received their completed report form. Payment is processed by the Payroll team, so it is important that you provide all of the appropriate information including:

  • Date of Birth
  • National Insurance Number
  • Bank details

The Results Team request the details above when they send out the appointment confirmation emails in October/November. Payment usually takes around a month, but may take up to two depending on payroll deadlines. Missing information could result in significant delay so please do contact the Results Team

The Results Team also process expense claims. Please download, complete and return and External Examiner Expenses Claim Form to arrange payment.

Sub-Board and School Board Chairs

The Chair and Deputy Chair of the School Board of Examiners for BA and BSc degrees, the LLB Board of Examiners and the Chair of the Graduate School Board are all appointed by the Academic Nominations Committee.

Chairs of Sub-Boards should be nominated (or reappointed) annually by Departments in time for the October USSC and GSSC meetings. 

Departmental staff should complete an Exam Board Chair Nomination Form and return it to the Assement Regulations Team.
